This document gives an overview of Records Management requirements within Schools and proposes standards that should be applied together with guidelines for good practice.
This includes a file format for paper-based pupil files, guidance on the transfer or retention of pupil records and advice around statutory obligations relating to records management.

This policy sets out Education Leeds’ requirements for the effective and efficient management of records in compliance with Part 1, Section 6 of the Lord Chancellor’s Code of Practice on the Management of Records issued under Section 46 of the Freedom of Information Act 2000.
It is intended that this policy will provide a basic framework sufficient for Education Leeds to be able to meet its legal and regulatory obligations as well as professional standards relevant to records management.

This is our code of practice for internet use. It has been written to reflect the requirements of "Fair Processing" under the Data Protection Act 1998 and also to recognise our obligations under the Human Rights Act 1998.It is important that all staff.

The attached Privacy Notice sets out general information relating to what Education Leeds does with pupil and school workforce data. It is based on wording issued across all local education authorities by the DfE and links to other privacy notices which are to be issued by schools (see quick link D3923). The overall purpose of this type of notice is to comply with requirements under the Data Protection Act 1998.

The Data Protection Act is a piece of legislation that sets out what can and cannot be done with an individual's personal information, whether it is held on a computer or written down on a piece of paper.

This policy was approved by Education Leeds Board on the 10th March 2004. It sets out why we must not keep records for longer than is necessary and also provides a schedule of retention periods for different types of records that we hold. Freedom of Information Request Summary (Ref: FOI 306) The request asked for information relating to admissions at Cockburn College of Arts. In particular it asked for information relating to pupils on the waiting list. It also asked for the numbers on roll in Year 7 and the total number on roll in the school. Our Response At the time of the request (September 2007) we confirmed the distance from home to school for four pupils who were at the top of the waiting list. We also confirmed there were 220 pupils on roll in Year 7 and a total of 1084 pupils on roll for the whole school. We also provided a copy of the Admissions criteria. Attached is a copy of the Admissions criteria and the disclosure letter, which has been anonymised in line with the Data Protection Act 1998.
